Eliminate Paper Work
The OutTrak mobile handheld device allows all sales, delivery and uplift transactions be recorded electronically on the handheld computer and the customer signs the screen to accept the transaction.
The Electronic copy of the signed transaction is instantly sent to the OutTrak Dashboard Viewer (ODV) from where it can be viewed, e-mailed or re-printed if requested by the customer. This eliminates the need for the user to print and/or return copy dockets to the office. End of day sales and activity reports are also sent back to the ODV electronically eliminating the driver paper reports.
Eliminate Double Processing
When the user records a transaction on the OutTrak mobile handheld device, it is immediately transmitted to the office and made available for import to the financial systems, so there is no need to re-enter any sales, delivery or returns dockets. The accounts and stocks are updated with what the driver entered and was signed for by the customer – there is no need to enter this information from the dockets eliminating re-keying errors.
Reduce Returns and Swaps
All returns and swaps are recorded by the sales/delivery representative on the OutTrak mobile handheld recording each product line (SKU). The user can categorise uplifts by SKU into re-saleable, waste, recycling etc. The uplifted stock is then returned to the depot or binned and the user records these also, so the company have a full audit of what was uplifted, where it came from, why it was returned and where it ended up. Management can analyse this information to identify where there is frequent over-stocking, bad product rotation or bad storage conditions in the customer outlet giving the ability to react and implement process changes to reduce return rates.
Eliminate Credit Notes
With the OutTrak mobile handheld system the user has details of what products are listed for each customer and if priced, what price and discount each individual customer gets. All prices, discounts and VAT calculations are done electronically eliminating calculation errors and the user can only deliver product lines that are listed eliminating incorrect stocking. Returns and swaps recorded on the OutTrak handheld are transmitted to the office systems at SKU level by customer meaning that any credit raised accurately reflects what the user recorded and what the customer signed for. These combine to eliminate common reasons to raise credit notes.
Reduce Debtor Days
Once a user confirms a sale or delivery and the customer signs the transaction it is then transmitted instantly to the OutTrak Dashboard and on to the invoicing systems so that the invoice can be raised immediately and sent out same day to the customer. Companies no linger have to wait for returned copy POD’s to release the invoice for processing reducing the lag from sales to cash by days.

The OutTrak Dashboard Viewer (ODV) allows companies track their deliveries in Real-Time providing a powerful management tool for the business. On completion of each delivery / sale through the OutTrak mobile handheld software, the dashboard is updated in seconds showing the status of the customer delivery and providing immediate access to an electronic copy of the signed POD. The OutTrak Dashboard allows you see when an order has changed status from being open to being delivered within 30 seconds of the delivery and this allows for a more efficient way to plan the route and keep a better control over the orders. The OutTrak system allows you track all stock from when it enters your stores, to the shop it has been delivered to. If a product recall is ever needed, the dashboard allows the office trace what customers received the product, what quantity and at what date.
